Terms of service

Draft. This page is being reviewed and isn’t final yet. Questions: [email protected].
The rules for using PropertyAdmin, in plain language: what it does and doesn’t do, what you and we are each responsible for, fees, and what happens if something goes wrong.
These terms
These terms are an agreement between you and [Company name] Limited (RC [RC number]), [Registered address], Lagos, Nigeria (“PropertyAdmin”, “we”, “us”). They cover your use of the PropertyAdmin website and apps.
By creating an account, accepting an invite or using PropertyAdmin, you agree to them. If you use PropertyAdmin for an organisation (an agency, a landlord business, a compound or an association), you agree on its behalf, and “you” includes it.
Our privacy policy explains how we handle personal data and is part of these terms.
Who can use PropertyAdmin
You must be 18 or over and able to enter a contract. If you accept for an organisation, you confirm you’re allowed to.
Accounts and the people on them
Each account has a head: its owner, a compound’s secretary or a community’s chairman. The head and anyone they let manage the team decide who joins and what each person may do. They’re responsible for removing people who should no longer have access.
Keep your login to yourself. You’re responsible for what’s done under it. Tell us straight away at [email protected] if you think someone else has used it.
What PropertyAdmin does, and doesn’t
PropertyAdmin helps you keep track of rent, levies and dues. It also sends reminders, statements and notices, runs repairs and duty rotas, and supports a community’s gate, votes, meetings and events.
- We don’t collect, hold or pass on rent, levies or dues. Tenants and households pay the person or organisation they owe directly. PropertyAdmin records the payments you tell it about. The only money paid to us is our own fees.
- Records are as accurate as what’s entered. Check statements and balances before you rely on them.
- Votes and elections follow your own rules. PropertyAdmin counts the votes it’s given. Whether a vote or election is valid under a community’s constitution, or under the law, is for that community.
- The gate tools help guards check visitors in. PropertyAdmin isn’t a security service and doesn’t guarantee anyone’s safety. Keep other security measures in place, and call the emergency services in an emergency.
Your data, and other people’s
What you put on PropertyAdmin stays yours. You let us store and process it to provide PropertyAdmin to you, and in no other way.
For data about other people (tenants, households, residents, guests), you are the data controller and we are your data processor under the Nigeria Data Protection Act 2023.
You:
- need a lawful basis for that data, and must tell those people that you use PropertyAdmin
- must keep the data accurate and limited to what you need
- must answer their requests about it, and we’ll help
We:
- use it only on your instructions, to provide PropertyAdmin
- keep it confidential and secure, and limit our staff’s access
- use only the service providers our privacy policy names, under contracts that protect the data
- help you answer requests from the people it’s about
- tell you without delay about a breach that affects it
- delete or return it when you stop using PropertyAdmin and ask us to, except what the law makes us keep
You can ask us for a copy of your account’s data at any time, from our Your data page.
Messages sent for you
PropertyAdmin sends SMS, WhatsApp messages and emails for you: reminders, statements, notices, alerts and invites. You may message only people you have a real relationship with, about that relationship. Don’t send marketing to people who haven’t agreed to it.
WhatsApp messages use templates Meta has approved. When a template isn’t available, the message goes by SMS. We can’t guarantee every message is delivered: networks and phones sometimes fail.
Each account has a monthly message allowance. Beyond it, messages use message credits, which you buy at the prices on your settings screen.
Fees and payment
New accounts start with a 14-day free trial. After it, the fees are:
- Agencies, managers and landlords: ₦250 a month for each occupied unit.
- Compounds: ₦500 a month for each household.
- Communities and estates: ₦250 a month for each lived-in household. Each household pays its own, online, or to an executive who marks it paid; the community then settles what its executives took.
- Message credits: what you choose to buy, from ₦500.
Our pricing page shows the current prices. If we change them, we’ll give you at least 30 days’ notice before you pay the new price.
Payments are made through Paystack, under Paystack’s own terms. Fees are in naira and include any VAT that applies.
If a payment is late, an account becomes read-only from day 7 (you can see everything but change nothing) and is locked from day 30. Paying is always possible, and it opens the account again. In a community, the same applies to a household whose own fee is unpaid. It never locks the community’s account.
Fees already paid aren’t refunded, except for a payment taken in error or where the law requires it.
Using PropertyAdmin fairly
Don’t:
- break the law, or help anyone else to
- harass, threaten or discriminate against anyone, including through notices, messages or reports
- add people’s data you have no right to, or impersonate anyone
- send spam, or messages people haven’t agreed to
- try to get into accounts or data that aren’t yours, or test, overload or work around PropertyAdmin’s security
- copy, resell or rebuild PropertyAdmin, or scrape it
Linking with other accounts
A community and a manager or landlord can link a house to a property they run, once both accept. Each side then sees only what our privacy policy describes. Either side can end the link at any time, and nothing crosses after that.
Availability and changes
We work to keep PropertyAdmin running, but we don’t promise it will always be available or free of errors. We may need to stop it briefly for maintenance. We improve PropertyAdmin all the time and may change or remove features. If a change takes away something important you pay for, we’ll tell you first.
Ending
You can stop using PropertyAdmin at any time. Fees already due stay due.
We may suspend or close an account that breaks these terms, puts others at risk, or stays unpaid. Where we reasonably can, we’ll warn you first and give you time to put it right.
Either way, you can ask us for a copy of your data.
Our software and name
PropertyAdmin’s software, design and name belong to us. Using PropertyAdmin doesn’t give you any rights in them beyond using the service under these terms.
Responsibility and limits
PropertyAdmin is provided as it is. As far as the law allows, we don’t give promises beyond those in these terms.
We aren’t responsible for:
- loss of profits, business or goodwill, or any indirect loss
- decisions you or your organisation make using PropertyAdmin
- disputes between landlords and tenants, or within a community
Our total responsibility to you in any 12 months is limited to the fees you paid us in those 12 months.
Nothing in these terms limits responsibility the law doesn’t allow us to limit. That includes your rights under the Federal Competition and Consumer Protection Act 2018 and the Nigeria Data Protection Act 2023.
You’ll cover our reasonable costs if a claim is brought against us because of data you added without the right to, or because you broke these terms.
The law that applies
These terms are governed by the laws of the Federal Republic of Nigeria. If there’s a dispute, tell us at [email protected] and we’ll try to settle it with you within 30 days. If we can’t, the courts of Lagos State will decide it.
Changes to these terms
We may update these terms. We’ll change the date at the top, and tell signed-in users about important changes at least 30 days before they apply. If you keep using PropertyAdmin after that, you accept the new terms.
